Position Overview:

A growing national events organization is seeking a Guest Services Specialist to support attendee experiences across large-scale destination and travel-based events. This role blends customer service, travel coordination, and event operations to ensure every guest interaction is smooth, professional, and welcoming.

The Guest Services Specialist serves as a primary point of contact for attendees before, during, and after events. From registration support to live event assistance, this position plays a critical role in delivering a seamless and memorable guest experience.

This role is ideal for someone who thrives in fast-paced environments, enjoys helping people, and takes pride in getting the details right.

 

Key Responsibilities:

• Assist guests with event registrations, travel bookings, room assignments, and payment support
• Respond to guest inquiries via phone, email, and helpdesk systems with professionalism and empathy
• Track, manage, and resolve support tickets efficiently
• Maintain accurate attendee records and update event manifests as changes occur
• Coordinate booking updates and logistics with travel and venue partners
• Support onsite event operations including guest check-in and issue resolution
• Serve as a welcoming, solutions-focused presence during live events
• Assist with merchandise fulfillment and inventory tracking as needed
• Support operational workflows to ensure accuracy across systems and communications
• Help identify process improvements to enhance guest experience and operational efficiency

 

Work Environment:

• Office-based administrative support prior to events
• Travel required for live events, including domestic and international locations
• Fast-paced, guest-facing environment during active event periods
• Collaborative team setting with cross-functional coordination

 

Qualifications:

• High school diploma or equivalent required
• Minimum one year of experience in customer service, hospitality, guest relations, or related field
• Strong verbal and written communication skills
• Professional, empathetic, and service-minded approach
• Ability to manage multiple priorities in a dynamic environment
• Comfortable learning and navigating new software systems
• Valid passport or ability to obtain one
• Willingness to travel domestically and internationally

 

Preferred Qualifications:

• Experience using helpdesk or ticketing platforms
• Event coordination or travel industry background
• Cruise, hospitality, or destination event experience
• Bilingual or multilingual skills
